It's always a good it to back up your data in some way. Hard drives fail. Chips burn out. If you have your stuff saved somewhere other than your local device, then this dramatically lessens the risk of you losing your stuff.

Access to Departmental Network Shares

Network Storage for

Many Union employees, notably faculty and office staff, each have their own secure network folder in which they can store data. This is commonly called the Z drive (because it is mapped using the letter Z).  It is recommended to use network storage for your data as a means of insurance again hard drive failure, and also to reduce complications if you have to change computers.

If you sign in on a Union computer while connected to the Union College network, your Z drive should be pulled automatically. To see your Z drive (and other shares if they have been mapped):

Windows 7

Simply open a folder. Your Z drive should show on in the left sidebar. Alternatively, you can click on Computer in the left sidebar and see it in the main window.

Open a folder. Click on This PC in the left sidebar. Your Z drive and other network shares will show in the main window under Network Storage.

Staff and Faculty Access to Departmental Network Shares

Staff and some staff faculty may have access to shared network folders, which are usually specific to a particular department. These drives must be mapped to stay available on a Union computer. Many people commonly call their department's share by the letter that it's commonly mapped to (for example  library$ (L:)   being called the L drive). It usually does not matter which letter a share is mapped to on a person's computer, and it's at least as important to know the name of the shared folder (example:library) as it is to know the map drive letter (L). 

Here is how to map network drives:

Windows 7

Open a folder
Click on Computer in the left sidebar
Click on Map network drive at the top of the window
Choose the drive letter you would like to use from the dropdown menu
In the Folder box, put in \\uc-file\ShareName$
Make sure the Reconnect at logon box is checked
Press Enter

If a box pops up saying the drive cannot be accessed, then that means that you have not been given permission to access that share. I.T. will need to be contacted for access to be given (see contact info at the bottom of the page).

Windows 10

Open a folder
Open File Explorer
Click on This PC toward the middle of of the left sidebar
Click on Computer at the top left
Click on Map network drive at the top of the window
Choose the drive letter you would like to use from the dropdown menu
In the Folder box, put in \\uc-file\ShareName$

Press Enter

Cloud Storage for Individuals

All Union faculty and staff have access to Office 365, which includes OneDrive. OneDrive, can be either installed on your computer or used as a web interface (note that it comes pre-installed on Windows 10). Please be aware that this storage is tied to your Union account, and you will lose access to your data after you leave the college.

To access your OneDrive through the web interface, go to your webmail. Click on Office 365 at the top left, then OneDrive.

To get OneDrive on your computer or devices: if you have Windows 10, it already has OneDrive included (it will show in the left sidebar of a File Explorer window). If you have another version of Windows or another kind of device, then you can download the app from the App Store, Google Play store, or see the instructions in the Office 365 online OneDrive interface.

If you're using OneDrive on your Union computer for the first time, make sure to take the Business option, not Personal.
