Initial Voicemail Setup

If you are faculty or staff that is assigned your own phone number, then you should have received an email with instruction on how to set up your voicemail (including your initial PIN number). If you did not receive this email or have forgotten your PIN, you can contact IT (see their contact information at the bottom of the page) to have the welcome email resent.

Call Forwarding


Use the phone menu to enable forwarding, or program a button for faster access.


Using the phone Menu to enable Call Forward

Press Menu

Press 2 for Features (or Navigate to Features and press OK)

Press 1 for Call Forward (or press OK if Call Forward is highlighted)

To ALWAYS FORWARD ALL CALLS, press 1 “Always Forward”

To forward on NO ANSWER (you phone will ring, then forward), press 3 “No Answer Forward”

     *Note: option 2, “Busy Forward” does not function in our environment.

Using the arrow keys,

Option 1 to Enabled

Option 2 Forward to: and enter the number you want to forward to.

If you have chosen “No Answer Forward”, you can adjust the time your desk phone will ring before the call is forwarded to the next destination. 

Do not enter any information in the fields labeled On Code: or Off Code:


Here’s a sample of what the screen should look like:

  1. Always Forward:               Enabled
  2. Forward to:                         16065464151
  3. On Code:
  4. Off Code:


Programming a button for Call Forward

NOTICE – a button programmed may be erased at any time due to a system update or other event. Also, you should not reprogram a button that already has a label. Buttons containing labels will be erased by the system.


Press and hold one of the 8 softkey buttons on either side of the display.

Using the arrow keys, change the Type to “Key Event”

Navigate down to Key Type and change to “Forward”

Navigate down to Label and enter a name for the button

Navigate down to Value and enter the destination for forwarded calls


Here’s a sample of what the button program should look like:

  1. Type:                     Key Event
  2. Key Type:            Forward
  3. Label:                    Fw to Cell
  4. Value:                   16065464151      <-This is the destination

Three-Way Calling


This is the process from the current Yealink deskphones.

When you're on the phone with someone, you can choose to add another person. Press the Conf button (this option will show up at the bottom of the screen). Dial the other person's number, and press Send. After they answer, you'll need to press Conf again, and then all three persons will be participants in the call.

It's possible to have more than three participants. Someone other than the original caller can press Conf on their Yealink phone and add a person, and that person can add another, etc. This can continue to propagate as long as all participants are using on-campus Yealink deskphones.

Once the (at least) three-way call is established, the original caller will have some Manage options such as removing or muting participants.

International Calling


International calling is now available for employees as needed.  Those who need international calling should request instructions from the business office.  The provider is Nextiva.

To see how much calls will cost, visit https://www.nextiva.com/resources/international-calling-rates.html and choose the country, click display rates, and the per minute rate will be listed for each location.

In order to make an international call, there is both a prefix and a suffix that must be added to the number.

Prefix: 789

Suffix: **<billing code>

The prefix is required to access the service that has international calling enabled.  The suffix is to track the billing so that the calls are billed to the correct department.

The billing code should probably be the user's phone extension so that calls can be easily tracked, however, it could be set per department.


Dialing example: the US consulate in Sao Paulo Brazil is 3250-5000.  This would normally be dialed as 011 55 11 3250 5000.  On campus, 789 must be added before the number, and **<EXT> must be added after:

789 011 5511 3250 5000 **1615


A report will be set up to attempt to help you with billing calls to each department, but it may take a few attempts before we get it where it needs to be. This is a new system and we’re figuring it out as we go.
